Privacy Policy

This Privacy Policy explains how we, East Anglia Reserve Forces and Cadets Association, handle the information we collect when you visit and use our sites, services, products, and content (“Services”), in accordance with the General Data Protection Regulation (GDPR).

When you share information with us through the use of one of our Services, we make sure it is stored securely and kept only for the purpose intended.

Data Collection

When you visit one of our Services, the pages which you see are downloaded to your computer, along with a small text file called a ‘Cookie’. Cookies collect usage information* and log data**. This data is processed by us in non-identifying reports containing usage information* and log data** via Google Analytics, Facebook Insights and Twitter Analytics. We do this to find out how our Services are being used so we can improve our Services.

When you sign up to receive our newsletter, we collect your email address, and we monitor how you use our emails on Mailchimp using web beacons; whether you open them and which links you click on.

We use data collected by Defence Relationship Management on SalesForce for our Employer Services. Click here to unsubscribe or update your preferences.

*Usage information includes the pages you visit, your language preference, your location, which device type and Internet browser you used,

**Log data includes originating Internet Protocol (IP) addresses, the requested files, operating system versions, device type and timestamps. Web servers usually keep log files that record data each time a device accesses those servers.

Account Information

To use the Parcel of Land Files section of our website, you need to have an account with us. At registration, you share with us your name and email address. Your password is stored securely on WordPress. Authorised employees of East Anglia RFCA can access your data.

If you are an Alternative Venues /East Anglia customer, we’ll ask you to submit your name, your e-mail address, your telephone number and details of your proposed event. This enables us to process requests and enable you to receive or use our Services. If you enter into a hiring agreement with us, we will ask you to complete our Booking form, which we’ll keep as long as we need to in our secure Symphony servers.

If you are an RFCA Member, your name and email address are listed in an internal members directory, as well as your role in the Association in print and online for East Anglia RFCA staff and members. This is so that fellow association members and staff is able to get in touch with you on matters related to the RFCA. Separately, and in a secure area hosted by Fujitsu IT Services, which can be accessed only by authorised RFCA personnel, we also retain RFCA members’ personal data such as address, age, industry affiliations, job title, hobbies and interests, and duration of RFCA membership.

This privacy policy only applies to our RFCA Services, and doesn’t cover other government services and organisations that we link to. These services have their own terms and conditions and privacy policies. If you go to another website from this one, read the privacy policy on that website to find out what it does with your information.

Data Retention

We will retain your data for as long as you continue to accept and use our Services.

Our Data is stored in secure servers managed by Fujitsu IT Services, using Sharepoint, Mailchimp and Pardot. Some of our providers have staff and servers based outside the EEA, and stores your data in the US.

You can ask us to show you the data we hold about you, restrict how we process your data and even delete all the data about you by emailing us at ea-info@rfca.mod.ukco-dpo@rfca.mod.uk or writing to us at The Data Protection Officer, CRFCA, Holderness House, 51-61 Clifton Street, London EC2A 4EY. We will complete your request within one month.
